Members and roles
Each organisation has its own space: your registers are visible only to the members you have admitted.
Two roles
Section titled “Two roles”| Role | What they can do |
|---|---|
| Administrator | Everything, including inviting members, naming the owner of a register or a deadline, allowing external email addresses, editing company information and managing the subscription. |
| Member | Consult and manage registers and their deadlines, and set alerts aimed at recipients that are already allowed. |
Whoever creates the organisation is automatically its administrator.
Who owns a deadline?
Section titled “Who owns a deadline?”Every register and every deadline has an owner: by default, whoever created it. That owner is what alerts set on “the deadline owner” aim at — the setting offered by default. See Alerts and reminders.
An administrator can hand that responsibility to another member, through the Owner field on the register’s or the deadline’s form. A member can neither offload a deadline nor assign it to a colleague: how work is shared out is an organisational decision, and it rests with the administrator.
Inviting someone
Section titled “Inviting someone”You enter their email address and they receive an invitation. Until they accept, the invitation stays visible in the list and you can revoke it.
Domain-based joining
Section titled “Domain-based joining”If your organisation uses Google Workspace, you can let colleagues request access directly, without a named invitation. An administrator then sees the request and approves or declines it.
Removing access
Section titled “Removing access”An administrator can detach a member at any time. The registers and deadlines they created stay with the organisation.
Remember to reassign the deadlines they owned: otherwise they stay in the name of someone who has left the team, and alerts set on “the deadline owner” keep pointing at them.
